Family Office Associate / Executive Assistant

Overview
A private family office is seeking a highly organised and discreet Family Office Associate / Executive Assistant to support the principals with lifestyle management, administrative coordination, and operational support across personal and property-related matters.
The role requires exceptional attention to detail, strong organisational skills, and the ability to manage multiple priorities in a fast-paced and highly confidential environment. The successful candidate will work closely with the principals and external advisors to ensure the smooth running of day-to-day family office activities.
Key Responsibilities
Travel & Lifestyle Management

Coordinate complex domestic and international travel arrangements, including flights, accommodation, visas, transport, and detailed itineraries

Manage luxury travel bookings, restaurant reservations, and experiences

Arrange and coordinate private events, social engagements, and hospitality bookings
Property & Estate Coordination

Assist with sourcing and arranging short-term and long-term property rentals in the UK and internationally

Liaise with property managers, estate staff, and service providers to ensure properties are maintained and operational

Coordinate contractors, maintenance services, and property-related logistics as required
Financial Administration

Track and organise invoices, receipts, and expenses for family office activities

Assist with processing payments and maintaining records of household and lifestyle expenditures

Support the preparation and organisation of financial documentation when required
Professional & Advisor Coordination

Act as a point of contact for external advisors including lawyers, accountants, property managers, and service providers

Coordinate meetings, documentation, and follow-ups with professional advisors
Administrative & Ad Hoc Support

Provide general administrative support to the family office

Manage ad hoc requests and personal errands for the principals

Maintain organised records and documentation related to travel, properties, and service providers
Candidate Profile
Experience
-
2–5 years’ experience in a family office, private household, concierge, lifestyle management, or high-level administrative role
-
Experience supporting high-net-worth individuals is preferred
